AI principles

We use AI every day. Here is exactly how.

AI is one strand of what Fortis does, not the headline. But because it touches client data and client decisions, you should know the rules we work to. These are them.

01
A human signs everything
No accounts, return, letter, contract, specification or piece of advice leaves Fortis without a named person having checked it. AI drafts. People decide.
02
Your data is not training data
We use business-grade AI services under terms that prohibit training on client data, with data held in UK or EU regions wherever the service allows. We do not paste client information into consumer tools.
03
We tell you when AI was involved
If an AI tool materially contributed to a document or analysis we have prepared for you, we say so. You are entitled to know how your work was produced.
04
Measured, or not used
Every AI-assisted process we run has an owner and a measure: hours saved, error rate or turnaround. If it does not pay, we stop.
05
Fix the process first
We do not automate a process that is broken. Mapping and fixing how work flows comes before any tool, AI or otherwise.
06
The same rules for clients
When we deploy AI in your business, it comes with the same controls: access rules, an audit trail, a human check on anything external and a quarterly review of whether it is still earning its keep.

In practice

Where it helps, and where it does not

Where AI genuinely helps

  • Drafting quotes, specifications and proposals from your own templates
  • Answering staff questions from your own procedures and price lists
  • Triaging enquiries and summarising calls and meetings
  • Extracting data from invoices, documents and forms
  • Reporting that writes its own commentary from the numbers

Where it goes wrong

  • Confident answers that are simply wrong, used without a check
  • Customer or staff data pasted into consumer tools
  • Tools bought on a demo and abandoned within a quarter
  • Automating a broken process and making it fail faster
  • No audit trail, no ownership, no one accountable for the output
